Within the Business Services Competence Centre, we are seeking a DocuWare Workflow Specialist to support the development and evolution of document‑driven business processes across the organization. The role combines a deep understanding of process digitization with hands‑on system configuration, particularly in environments with strong financial and compliance requirements. As a trusted partner to the business, the specialist will contribute to improving efficiency, transparency, and adoption of DocuWare solutions through collaboration, advisory support, and practical enablement.

Your tasks

Designing, configuring, and maintaining DocuWare workflows, with a strong focus on finance processes such as invoice processing and approval flows
Building and optimizing document structures, including metadata, index fields, document types, and classification rules
Translating business requirements into secure, compliant, and sustainable DocuWare configurations
Defining and managing user roles, permissions, and access controls to ensure compliant document handling
Continuously improving workflow performance, stability, scalability, and user experience
Acting as a DocuWare subject‑matter expert, advising on best practices and solution design
Collaborating with business stakeholders and enabling internal teams through documentation and structured knowledge transfer

Requirements

At least 5 years of proven hands‑on experience with DocuWare, including end‑to‑end workflow design and deployment using Workflow Designer
Strong understanding of enterprise‑grade ECM/DMS solutions, audit‑compliant archiving, retention, and compliance requirements
Solid business process knowledge, particularly in Finance or Accounting; experience with HR or Procurement is an advantage
Senior, consultative mindset with the ability to guide stakeholders, explain solutions, and constructively challenge requirements
Highly independent, structured, and pragmatic professional with fluent English communication skills (C1)

Nice to have

Experience with DocuWare REST API and system integrations, particularly with ERP, Finance, or HR platforms in cloud‑based (SaaS) environments
German language skills are a plus due to occasional collaboration and business travel to Germany

Завдання

Проектування, налаштування та підтримка робочих процесів DocuWare, з особливим акцентом на фінансові процеси, такі як обробка рахунків-фактур та потоки затвердження
Створення та оптимізація структур документів, включаючи метадані, індексні поля, типи документів та правила класифікації
Перетворення бізнес-вимог у безпечні, сумісні та стійкі конфігурації DocuWare
Визначення та управління ролями користувачів, дозволами та контролем доступу для забезпечення сумісної роботи з документами
Постійне покращення продуктивності, стабільності, масштабованості та зручності роботи з документообігом
Виступати в ролі експерта з питань DocuWare, консультувати щодо найкращих практик та дизайну рішень
Співпраця із зацікавленими сторонами бізнесу та підтримка внутрішніх команд за допомогою документації та структурованої передачі знань

Наші очікування

Щонайменше 5 років підтвердженого практичного досвіду роботи з DocuWare, включаючи наскрізний дизайн та розгортання робочих процесів за допомогою Workflow Designer
Глибоке розуміння рішень ECM/DMS корпоративного рівня, вимог аудиту до архівування, зберігання та дотримання нормативних вимог
Глибокі знання бізнес-процесів, зокрема, у сфері фінансів або бухгалтерського обліку; досвід роботи з персоналом або закупівлями є перевагою
Консультативне мислення з можливістю керувати зацікавленими сторонами, пояснювати рішення та конструктивно ставити під сумнів вимоги
Високо незалежний, структурований і прагматичний професіонал з вільним володінням англійською мовою (C1)

Буде перевагою

Досвід роботи з DocuWare REST API та системними інтеграціями, зокрема з ERP, фінансовими або HR платформами в хмарних середовищах (SaaS)
Знання німецької мови є перевагою у зв'язку з періодичною співпрацею та діловими поїздками до Німеччини
